Kyle McDowall Photography

Last updated: 12 October 2026

This notice explains how I collect and use personal information when you contact me, book a photography session, or visit my website.

Who I am and how to contact me

I’m Kyle McDowall, a photographer based in Scotland, working as Kyle McDowall Photography. I’m responsible for the personal information described in this notice.

    ●    Email: Kylemcdowallphotography@gmail.com

 Website: www.kylemcdowallphotography.co.uk

Information I collect

Depending on how you work with me, I may collect:

    ●    your name, email address, phone number and messages;

    ●    details about your enquiry, event date, venue, schedule and photography preferences;

    ●    information needed to plan the session, such as access requirements or important timings;

    ●    payment and invoice records;

    ●    photographs and, where agreed, video of you and other people at your session or event;

    ●    feedback or a review you choose to provide; and

    ●    basic technical information about visits to my website, such as cookies or analytics data [confirm which, if any, your website uses].

Please avoid sending sensitive personal information unless it is needed to plan your booking.

How and why I use your information

I use personal information to:

    ●    reply to enquiries and prepare a quote;

    ●    arrange, deliver and follow up on a booking;

    ●    take payment and keep the records required for tax and accounting;

    ●    deliver photographs through a private online gallery and provide support;

    ●    protect my business and handle questions or disputes; and

    ●    share photographs in my portfolio or marketing only if the relevant person has separately agreed.

For enquiries and bookings, I use information where needed to take steps at your request before a contract, perform the contract, or meet a legal obligation such as keeping financial records. Where I rely on consent—for example, permission to publish photographs—you can withdraw it for future use by contacting me. Your publication choice does not affect your booking.

Photographs and other people at your event

Please let guests know that photography will take place. You are responsible for arranging any permissions needed for the event and venue. I will not use identifiable client photographs in my website, social media or marketing unless the relevant person has given separate permission. For identifiable photographs of children, I will seek permission from a parent or guardian before publication.

Who I share information with

I do not sell personal information. I may share the information needed to provide my service with providers that help me operate. I use Google Gmail for email and Google Drive to store and share image files. I may also use a website host, payment service, online gallery or other secure backup provider as my services develop. [Add the names of any other providers you actually use.] These providers should only use information as needed to provide their service to me.

I may also disclose information where the law requires it or where it is necessary to establish, exercise or defend legal claims. Google operates servers around the world and says information may be processed outside the country where you live. Because I use Gmail and Google Drive, your messages and images may be processed outside the UK. Google describes its data-transfer frameworks in its Privacy Policy (https://policies.google.com/privacy/frameworks?hl=en-GB).

How long I keep information

I keep information only for as long as I need it for the purposes above, including legal and accounting requirements. My intended retention periods are:

    ●    Enquiries that do not become bookings: 12 months after our last contact.

    ●    Contracts, invoices and payment records: 6 years after the end of the relevant tax year, unless I need them longer for a legal matter.

    ●    Your online gallery: 6 months after delivery, as stated in the booking agreement. Please download your images during that period.

    ●    Final image files and backups: 6 months after gallery delivery. I will then delete them from my active storage, subject to any temporary copies remaining in provider backups or recycle bins.

I securely delete or anonymise information when it is no longer needed, subject to backups and any legal retention requirements.

Your choices and rights

You can contact me to ask for access to your personal information, correction of inaccurate information, or—where the law allows—deletion or restriction of its use. You may also have the right to object to certain uses or request a copy of information you provided. If I use your consent, you can withdraw it at any time for future use.

To make a request, email Kylemcdowallphotography@gmail.com. You can also complain to the UK Information Commissioner’s Office (ICO) if you have concerns about how I use your information.

Website cookies

My website uses cookies or similar technologies. Some may be needed for the site to work; others may be used for visitor analytics or advertising, depending on my website settings. You can also manage cookies through your browser settings. I will ask for consent before setting optional cookies where the law requires it.

Keeping information safe

I take reasonable steps to protect personal information and photographs from loss, misuse or unauthorised access. No method of storing or sending information is completely secure, so please contact me if you have concerns about a message or gallery link.

Changes to this notice

I may update this notice if my services or the way I use information changes. The latest version will be available on my website with the date it was updated.
